Moving membership subscriptions from Bookwhen or other platforms
Members who had a Stripe subscription on Bookwhen (or elsewhere) don’t automatically exist in Classta. Each platform has its own:
Payments – We can’t see payments or customers from Bookwhen’s Stripe (or another provider). Even if they used Stripe, that’s a different account and context.
Memberships – Our membership IDs and products don’t match the other platform’s, so we can’t auto-import or link their old subscription to Classta.
So you need to add them in Classta and/or invite them to pay on Classta when you’re ready. Two practical ways to do that:
Option 1: One-off coupon for time already paid (recommended)
Give them a discount for the period they’ve already paid for on the other platform, then ask them to subscribe on Classta.
In Classta, go to Coupons and create a one-off coupon (e.g. 100% or a fixed amount) that reflects the time they’ve already paid for (crossover period).
Send them the link to your membership page on Classta and tell them to subscribe using that coupon so they’re not charged twice for the same period.
After they complete the purchase on Classta, they’ll get the usual welcome email and can log in to the member area with their email (Magic Link or password).
Pros: They become a normal paying member in Classta, with correct payment and renewal from day one.
Option 2: Import or add them manually, then ask them to purchase when their old period ends
If you don’t want them to pay again until their current subscription (on Bookwhen, etc.) would have ended:
In Classta, go to Members (or Memberships → your membership) and add the member manually with their name and email.
Set their expiry/renewal date to the end of their current subscription period on the other platform (so they keep “member” access in Classta until that date).
Cancel that manual membership (or let it expire) at the end of that period, and ask them to subscribe on Classta (via your membership page) when you want them to start paying on Classta. You can still use a coupon (e.g. pro-rated) if you like.
Pros: They get access in Classta immediately without paying again until their old period is over.
Summary
Situation
What to do
You want them paying on Classta straight away
Use Option 1: one-off coupon for crossover period, then they subscribe on Classta.
You want to give them access until their old sub ends, then they pay
Use Option 2: add manually, set expiry to end of current period, then invite them to purchase when it ends.
We can’t import or “see” their old subscription from Bookwhen or other platforms even if they purchased with Stripe and you have connected your Stripe account to Classta; adding them in Classta and/or inviting them to purchase (with a coupon if you like) is the way to bring them over.
