How to set up class reminders

Class reminders automatically notify clients before their scheduled class. You can send reminders by emailSMS, or both, and set when they’re sent (e.g. 1 hour before, 1 day before).

Where to set up reminders

  1. Log in to your Classta admin dashboard.
  2. Open Classes and find the class you want.
  3. Edit that class (click the edit button to open the class form).
  4. In the class form, open the Reminders tab (next to Pricing and Options).
Reminders are configured per class, so you can use different timings and channels for different classes.

Adding a reminder

  1. In the Reminders tab, go to Add New Reminder.
  2. Choose when to send it using the Send Reminder dropdown:
  • 1 hour before
  • 2 hours before
  • 4 hours before
  • 6 hours before
  • 12 hours before
  • 1 day before
  • 2 days before
  • 3 days before
  • 1 week before
  1. Choose how to send it under Delivery Method:
  • Email – reminder email to the client’s email address
  • SMS – text message to the client’s phone number

You can tick one or both. At least one must be selected.

  1. Click Add Reminder.
The new reminder appears under Active Reminders. You can add several reminders per class (e.g. one 24 hours before and one 1 hour before).

Managing existing reminders

  • Turn Email or SMS on/off – Use the Email and SMS checkboxes next to each active reminder. Changes save automatically.
  • Remove a reminder – Click the trash icon on that reminder. It will no longer be sent for that class.

How reminders are sent

  • Reminders are sent automatically by Classta (the system runs checks regularly).
  • Each reminder is sent once per booking at the chosen time before the class.
  • Email reminders include class details and a Check In link so clients can open their QR code for check-in.
  • SMS reminders are sent to the phone number the client used when booking (SMS must be set up for your account).

Tips

  • Use 1 hour before or 2 hours before for a last-minute nudge.
  • Use 1 day before or 2 days before so clients can plan and reschedule if needed.
  • Combine timings (e.g. 1 day before + 1 hour before) and choose Email, SMS, or both for each.
  • If you use Options and enable Disable QR Code Check-in Links, the check-in link will not appear in reminder emails (and in confirmation emails).

Troubleshooting

  • “Add Reminder” is disabled – Select at least one delivery method (Email or SMS).
  • Reminders not received – Confirm the client’s email or phone is correct on the booking, and that your account has email/SMS sending set up.
  • Reminders only for one class – Reminders are per class. Edit each class and add reminders in the Reminders tab as needed.
