How to cancel or hide classes, handle holidays, and when to cancel bookings

Hiding a class, taking it off the schedule, and cancelling bookings are three different actions. Each one does something different to your booking page, your diary, and client reminders.

Hide a class that is still running

Use this when the class is going ahead for people already booked, and you only want to stop new customers booking it.

Edit the class and turn off Show on my client page. That removes it from your booking page. Show on public page only controls whether it appears on the Classta public classes list.

People who are already booked stay booked. They still get reminders. The sessions still show in your diary. Turn the option back on when you want the class bookable again.

Do not set an end date or exclude dates for this. Those mean the class is not running.

Take dates off the schedule

Use this when the class is not happening: a holiday, a break, or a longer stop such as medical leave.

In the class, under Schedule Restrictions:

  • Exclude dates for individual days the class will not run, such as a bank holiday or a week off.
  • End date when the class stops from a certain day onward. Set a new Start date when it begins again, or clear the end date.

Those dates disappear from your booking page, so new customers cannot book them. Reminders are not sent for bookings on dates the class does not run. The bookings themselves stay in your diary until you cancel them. You can move them to a later date when you are ready.

Move one session to another day

Use Manage dates on the class (the calendar icon) when that session is still happening, just on a different day.

Bookings on the original date are moved to the new date, and those clients are emailed. Reminders follow the new date.

Cancel bookings

Cancel a booking when that person should no longer be on the session: you are refunding them, freeing the place, or the class is not running and you do not want the booking left in your diary.

In Bookings, open the booking and delete it. For a Stripe payment you can refund the full amount or part of it as you delete it. PayPal and cash refunds are handled by you, outside Classta.

There is no way to cancel every booking on a date in one step. If a holiday or an end date leaves people booked on sessions that are not running, cancel those bookings yourself. Hiding the class, excluding a date, or setting an end date will not remove them or refund them.

Cancel a booking when the class is still running only if that person should not attend. Everyone else who is still booked should keep their booking, and they will still get reminders.

Which to use

  • The class is on, and you want no new bookings: hide it with Show on my client page. Leave existing bookings as they are.
  • A day or a stretch of days is off: exclude those dates, or set an end date. Reminders stop for those dates. Cancel the bookings yourself if you also want them removed or refunded.
  • One session is moving to another day: use Manage dates. Bookings move with it.
  • One person should not be on a session that is still running: cancel that booking, and refund it if you need to.
