How do I handle walk-ins who haven't booked?
Someone turns up without a booking. You can let them book on their phone, create the booking yourself, or note them on the class register and add them in Classta later. Use whichever fits the class.
Let them book on their phone
This works well when the desk is busy and you want the customer to pay, or use a class pass, on their own phone.
You send them to book that class on their phone, they pay (or use a session bundle), then you scan the check-in QR from their confirmation email.
There are two different QR codes in this process:
- Yours, printed at the studio. It opens the booking page for one class.
- Theirs, in the confirmation email. You scan it to mark them attended.
1. Keep the class bookable after it starts
On the class, turn on Add a booking cutoff time and set Booking cutoff time (hours) to a negative number.
A negative number is how long after the start people can still book. -1 means up to one hour after the start. -0.5 means up to 30 minutes. A positive number does the opposite and closes bookings before the class starts.
The class still has to have a space. A full class cannot be booked.

2. Make a QR code for that class
In Classes, open Direct booking links on the class and create a link. Leave the expiry and usage limit blank so you can keep using it.
Turn that link into a QR code (use the QR code button next to the direct booking link) and print it, or keep the link on a tablet at the desk. One QR per class is usually clearest.
3. At the door
- Ask whether they already have a booking.
- If they do, skip to step 4.
- If they don't, they scan your printed QR on their own phone (or visit your website) and book today's class.
- No pass: they pay by card in that booking.
- They already bought a session bundle: they enter their bundle code at checkout instead of paying again. One credit is used then.
- They open the confirmation email and tap Check In. That shows a QR code for this booking only.
- On your phone, open the camera and scan their QR. You need to be logged in to Classta on that phone. Tap Mark as Attended.
If the confirmation email is slow, mark them attended from Bookings once their booking appears. You can also search today's bookings and mark attendance there without a QR code.
Create the booking yourself
You can add the walk-in from Bookings while they are standing there. You do not need a negative cutoff for this. Classta still lets you create the booking after the client booking window has closed.
- Go to Bookings and click Create Booking.
- Enter their name and email, or pick them if they are already a client. Choose the class and today's date.
- Take payment however you usually do. Classta does not take the cash or the card-machine payment for you.
- If they pay you then, tick Already paid.
- If they have a session bundle, enter their bundle code so one credit is used.
- Mark them attended from Bookings, or from the class list.
Write them on the register and add them later
Some studios print or email the class register, ask the instructor to write walk-in names on it, and enter those bookings after the class.
Open the class on the calendar and use Print or Email. The printed register lists who already booked, and has blank rows at the bottom for extra names. Afterwards, add each person with Create Booking. You can choose a past date, which is useful when you are catching up after the class. Tick Already paid if you have already taken the money, or enter a bundle code if they used a pass.
